Pack spring family campout chair

January - start plans, please call cubmaster, comm chair, and last year’s pack spring campout chair to find what was done the previous year, be sure to find out what forms need to be filed with the scout office (liability, permission, etc.), also find out what training is needed by adults in order to take campers camping.

Campout held on a Friday evening to Saturday before noon, and usually the last weekend of April or third weekend of May (there will always be a conflict, so plan a date and work with that). If campout Saturday evening til Sunday morning, be sure to include Sunday morning worship.

February, March and April – please send out email on update of pack spring campout to comm chair and cubmaster to forward to den leaders before their monthly den leaders’ meetings. Remember –communicate plans! Each den to prepare a skit at campfire on Friday night. Each den responsible for their own meals and s’mores, everyone responsible for picking up trash. You will need to make arrangements for Friday night’s bonfire.

January, February, March and April pack meetings - please announce and promote. Include info on cost, entire family invited, picking up of trash, skits, tents, meals and snacks planned by dens, rules regarding playing with sticks, bathroom facilities, directions, emergency contacts, and fact that each cub must have a parent attend in order to go. Encourage participation.

After campout, please write hosts a thank you note.


Day & Residence Camp Coordinator

(by 9/15 comm chair to give coordinator’s name to scout office)

By December 1, scout office to know day camp and residence camp dates. Please get dates and compile an information sheet with the name of the camp, dates, fees, due dates.

February, March and April – please send out email on update of day camp and residence camp dates to comm chair and cubmaster to forward to den leaders before their monthly den leaders’ meetings. Remember –communicate plans! Note – traditionally Webelo 1s, fourth graders, attend residence camp with parents there at least part of the time.

January, February, March and April pack meetings - please announce and promote. Remind parents that in March or April the scout office will mail out forms, or they can go to the scout website www.bsa-grc.org. Also, if a child attends day camp, his parent needs to help out as a walking leader at least one day.

Day camp forms and money due no later than April pack meeting! At that time, camp coordinator needs to make sure that parents are signed up for walking leaders at day camp, and that the required number of adults, per number of scouts going, is fulfilled.

April – camp coordinator compile a list of all going to camp. Please also give treasurer camp money in which it reconciles with list of boys attending.

July – please get a list of camps and dates from the scout office for the following summer in order for the comm chair to put on the pack calendar.


Swim party chair

First of May - please call West Broadway Swim Club, 445-1117, to RSVP for swim party, generally the second Friday in July, 9:15pm – 10:45pm. If swim party chair not a member of West Broadway, chair may have to ask someone who is to RSVP.

April and May pack meetings – please announce and promote swim party. Free for the entire family (pack pays). Each family to bring either a snack, healthy or not. Encourage participation. Everyone responsible for picking up trash.

First of June – send out details of swim party to committee chair, including RSVP date and reminder to comm chair to forward to den leaders.

End of June – repeat of above, with reminder of final RSVP date.

Week of Swim Party – please buy two roll of quarters, and three or four cases of soda for coin and soda toss the night of the party (scouts and siblings participate). No need to buy any more refreshments as families should be bringing per swim party chair’s email reminder. Also, please get check from treasurer to pay West Broadway, and for soda and quarter reimbursement.


Pack picnic chair, end of August

Typically held on the Sunday evening after school starts, 5-7pm, at Cosmo Park.

One of the most important things is that the day after the pack picnic, please call Columbia Parks & Rec to reserve shelter for the next year. You will need to pay, and then give receipt to treasurer for reimbursement.

End of July – send out details of picnic to committee chair, including RSVP date and reminder to comm chair to forward to den leaders. Reminder – communicate plans! Pack provides drinks, hot dogs & buns, condiments, paper products. Wolves: Deserts, Bears: Veggies, Webelo 1s: Chips, Webelo 2s: Fruit. Everyone responsible for picking up trash.

Middle of August – repeat of above, with reminder of final RSVP date.

Week of picnic – please buy drinks, hot dogs, buns, condiments, and paper products.


Recruitment night chair

Held the first Tuesday evening in September at Fairview!

Important to do this in a timely manner! First of July, call the scout office to get a copy of the recruitment night flyers. Mail a copy to the Board of Education to get approval to send home in Fairview Friday folders the first two Fridays of school.

After approval, please send a copy of flyers to Mr. Tilley for his approval to send home in the first two Friday folders of school. Also, please ask Mr. Tilley for the scouts’ use of the school for recruitment night!

Also in July, discuss with cubmaster and comm chair, the fact that the scout office will provide a district office to come and speaker to the parents at recruitment night about scouts. Decide if the Pack would like to do that.

August, discuss with last year’s recruitment night chair the format of the evening. Please plan out recruitment night before the August den leaders’ meeting, so that at that meeting you can inform leaders of the plans.

IMPORTANT!!! Before the December pack meeting, the popcorn chair needs to drop off at Fairview office four - 15 packs of popcorn with a thank you note to the attention of the Fairview Principal that this popcorn is in appreciation of the school for letting us have our meetings at Fairview. (popcorn chair – be sure to order these four packs of popcorn and the pack pays for them).

Always have two people counting money.

October – District meeting for popcorn chairs and pack popcorn orders due for Show & Delivery. Also, at October pack meeting 1) pass out popcorn order forms to den leaders with reminder that orders may not be taken until November 1 2) reminder that orders need to be turned in the Sunday before Thanksgiving 3) money due at December pack meeting and 4) see “popcorn tips” below for suggestions to give members.

November 1 – popcorn sales begin

November – first Saturday in November, popcorn Blitz day

Monday after Thanksgiving – popcorn chair turns in order to the council.

Part 2 of 3 – popcorn chair

Popcorn Tips

1. The cub should always go with a parent, at this age, rather than just two scouts.

2. If a customer seems interested in buying popcorn:
a. As a parent, it’s best to let the customer know that “the popcorn tins are small, so basically you are getting a small tin of popcorn and making a donation to the Boy Scouts. We don’t want you to be disappointed when the popcorn comes.”
b. People seem to people appreciate being upfront.

3. Collect money when you sell it – just be extremely careful not to lose it!!!

4. When customers ask if they should pay now or later – best to say to pay now, please.
a. If the customers seem to want an explanation, it’s because paying now makes delivery easier & faster.
b. This way, the customer can be called and if they say it’s alright, we can leave the popcorn on their doorstep – versus having to make sure the customer is home when we deliver popcorn so that we can pick up the check.

5. On the order form’s email address line:
a. Write whether they paid by check or cash – especially cash payments.
b. This is in addition to the paid checkmark column on the order form.

6. Also, before leaving the customer’s house:
a. Please give to the customer a small slip of paper which has listed:
1) scout parent’s name
2) phone
3) and approx date that the popcorn would be delivered (12/10). This way the customer hopefully wouldn’t think we took his money and would never come back.


Part 3 of 3 – popcorn chair

PARENT check list – see below:

1)_____Before turning in, PLEASE MAKE A OF COPY OF YOUR SON’S SALES SHEET to keep at home. Important: your scout will use this copy when making deliveries.

2)_____Before turning in, PLEASE MAKE SURE YOU SELECTED THE PRIZE your child qualifies for.

3)_____Before turning in, MAKE SURE THE SALE SHEET’S RIGHT COLUMN IS MARKED APPRORIATELY: a. whether the popcorn was already given to the customer b. whether money was collected.

4)_____Please turn in your popcorn order sheet to your den leader at the Holiday Parade (Sunday before Thanksgiving). Or, if selling popcorn to relatives over Thanksgiving, you may turn in your sheet to your den leader no later than the Saturday after Thanksgiving.

5)_____ Popcorn pickup day is generally the second Saturday of December. Please set aside time that day, probably in the morning, to come pick up your son’s popcorn. Thank you!

6)_____ Please bring popcorn money to the December Pack Meeting – not before, please!


DEN LEADER check list – see below:

1)_____Please tabulate your den’s popcorn orders for each category. Please make sure the quantity multiplied by the price equals all your scouts’ totals.

2)_____Please double check that each scout made his own copy of the sales sheet to keep at home for distribution.

3)_____By the Saturday after Thanksgiving, please give the popcorn chair: a. all your scouts’ sales sheets b. the amount he needs to order for your den (broken down into categories) c. the corresponding amount your den needs to collect

Fairview park clean up

Sept and April

September – held the second Sunday at 4pm, before the Tiger Cub picnic.

April – held the second Friday, at 5:30pm. Please email out reminders (more than one) in plenty of time to comm chair and cubmaster so that they may forward to den leaders. Remind parents and scouts to bring gloves, and one parent from each den to bring a small snack, drink, and hand sanitizer.

Holiday parade chair

Held the Sunday before Thanksgiving.

By October 31, please register for the parade at comojaycees@hotmail.com

November 1 (day after Halloween), if at all possible, please BUY Halloween candy on clearance for parade, approx 15 packages.

By November 5th, at the latest – please send out email on update of holiday parade to comm chair and cubmaster to forward to den leaders before their monthly den leaders’ meetings, include where to meet, time to meet, theme, wear scout uniforms, reminder to boys that there is a rule that candy may NOT be thrown (due to possible injury), parade goes on rain/snow/or shine, parade chair brings the candy and some plastic sacks to the parade, fact that the parade will be on Columbia Channel 13, etc. Remember – communicate plans!

September, October and November pack meetings - please announce and promote. Encourage participation.

Note – for the last few years, the time frame for the parade has been: By 1:15pm, vehicles need to be there. The vehicle may pull up to a barricade and ask a Jaycee to assist. By 2:30, at the very latest, plan on being bt Stephen’s pool & Doctors’ Park. We have to be ready to go by 2:30 The Jaycees recommend using Bass, Williams, or Walnut as drop-off location. Pack 703 has been in Section 3.


Salvation Army bell ringing

Held the 1st Saturday in December.

By November 1st - call Salvation Army to reserve HyV, 1st Sat in Dec, 45 mins per den, start at 9am.

By November 5th, at the latest – please send out email on update of bell ringing to comm chair and cubmaster to forward to den leaders before their monthly den leaders’ meetings, include times, info on den leaders’ signing up for a shift, scouts need to wear uniforms and be on their best behavior, remind parents and scouts to bring bells, list of Christmas songs to sing while ringing bells, and the fact that Hy Vee requests we don’t ring bells too loud as the noise carries into the store. Remember – communicate plans!

Holiday party at December pack meeting

Held at the December pack meeting.

By November 1st - call McDonalds on Stadium to order cooler, cups (200), and punch (2 bottles concentrate – if unopened, use to be able to take it back if unused). McDonalds only charges for punch concentrate, cups are free.

By November 5th, at the latest – please send out email on update of Holiday Party to comm chair and cubmaster to forward to den leaders before their monthly den leaders’ meetings, reminder that each family is asked to bring a plate of cookies or a healthy snack, children need to walk to the cafeteria after the pack meeting (no running), and the important fact that families, before leaving, need to help clean cafeteria, gym, and put away chairs times – we need everyone’s help. Scout Sunday and the God and Country Award

Encourage participation.

At November, December, and January pack meetings, remind scouts of Scout Sunday, usually the first Sunday of February (please check district and pack calendars for exact date). Encourage scouts to wear uniforms to place of worship. Some churches have the scouts carry in flags and/or help with the service – encourage parents to ask their worship center about what scouts can do on Scout Sunday.

It is the tradition of Pack 703 that when scouts earn the God and Country award, have the scout come up on the stage for the only purpose of being presented this award (as opposed to including it when the scout is awarded his other awards with his den). Please not only recognize the scout, but also the scout’s parents and the mentor who helped to lead the scout through this requirement.

Please recognize scout at a Pack meeting, even if the scout was awarded his God and Country medal at his church on Scout Sunday. This is because we want other scouts and parents at the den meeting to know about it.


Blue and Gold

Blue and Gold banquet held the fourth Friday of February.

Blue and Gold skit practice (Webelo 1s) held the Thursday before the B&G banquet.

October – check in with committee chair and cubmaster to make sure that space has been reserved for B&G skit practice and the B&G banquet.

November – get B&G folder from parents who were chairs the previous year. Reminder – please take good notes for your replacement the next year! Also, call the scout office to find the theme for B&G.

By November 5th, at the latest – please send out email on update to comm chair and cubmaster to forward to den leaders before their monthly den leaders’ meetings, include place, time, theme, wear scout uniforms, families invited, RSVP and payment deadlines (easiest and best if den leaders collect ahead of time!), who is catering meal, price, please ask all to help clean up before going home for the evening, table decoration rules, etc. Remember – communicate plans!

Scouting for food

IMPORTANT – save the pack’s map from the previous year and which dens had which routes. Please give a copy to both the committee chair and the cubmaster (in case one of them loses it!). Passing the map along to next year will make the following year much simpler!

Also important – discuss with comm chair and cubmaster that when they go to January or February roundtable to please sign up for same route as the previous year

Discuss in email the route, each den responsible for their own meeting time and place, dates, scouts to wear uniforms, expected behavior, purpose of scouting for food drive and its impact, etc.

Second Saturday of March is generally the food bag pickup day, which is generally done by the Boy Scouts (as opposed to Cubs). Please double check and make sure.


Skating Party chair

Held the 1st or 2nd Thursday of March, 6 – 8pm.

No later than December 1st - reserve rink for 1st or 2nd Thurs in March, 6-8pm, to celebrate popcorn sales.

Pack pays for the scouts’ entrance fees and skates, and everyone’s pizza and soda. (if you’re a nonscout you will have to pay for is your entrance fee and skates)

January, discuss with last year’s skating party chair what was done last year. Please plan before the December den leaders’ meeting, so that at that meeting you can inform leaders of the plans.

January, February and March – please send out email on update of the skating party to comm chair and cubmaster to forward to den leaders before their monthly den leaders’ meetings, include RSVP dates, the fact that the entire family invited, that the pack pays for the scouts’ entrance fees and skates, and everyone’s pizza and soda, wear scout shirt and/or pack t-shirt, that the reason of the occasion is to celebrate popcorn sales, and that the March den leaders’ meeting will be held at the skating party, if needed. Be sure to remind comm chair and cubmaster to send info to newly graduated Webelo 2s the den leaders’ email, so that the newly graduated Webelo 2s and their families know that they are invited. Remember –communicate plans!

December, January and February pack meetings - please announce and promote. Encourage participation.
